In 2008 the Girl Scouts of Northern California - San Francisco Bay Area will recognize our outstanding adult volunteers. The process starts with public nominations that are then reviewed by a volunteer committee for completeness and accuracy, and finally the nominations are approved by our Board of Directors.

Getting Started
Thank you for participating in our Girl Scouts of San Francisco Bay Area Adult Recognitions program by nominating volunteers you consider outstanding! We accept applications throughout the year and review them each spring. The award recipients are honored at the Adult Recognitions Luncheon usually held in April.
For the spring review, most nominations are due the fourth Friday of January. Outstanding Volunteer and Outstanding Leader, which are awarded locally, are due March 31st.

What's the Scoop?
All of the completed applications received by the fourth Friday in January will go through a series of reviews. Here's the process:
- First, the forms will be screened for accuracy and completeness. (NOTE: incomplete application packets will not be considered). We highly recommend you wait to turn in the nominee's application packet until it is complete. Also, we encourage you to fill out the forms and endorsement letters electronically and email them to sandy@girlscoutsbayarea.org. This saves time and can be done up until the last minute.
- Next, the nominee's Girl Scout membership status will be checked and confirmed and all complete nominations will be collated, copied and sent to the Adult Recognition Nomination Task Group for review. The Committee (~12 members) is made up of volunteers from all over the council and they meet for one full day to review, discuss, and make recommendations. If your nomination was not accepted, you will be contacted immediately. There is a two-week appeal process for you to resubmit the forms. The instructions on how to do so will be given to you in writing via a letter from the council.
- The Committee's recommendations are then submitted to the Council Board of Directors to be approved during their March meeting that is usually the second or third week of the month. We cannot officially tell you prior to that if your nominee has been approved. Once the board has made its approval, we will send the nominator a letter stating this. Now, your job is to help make sure the recipient attends the meeting!

Instructions & Endorsement Letter Tips
- Type your nominations and endorsement letters please!
- Don't forget, at least 12 people need to read your letters. We often can't decipher hand writing so please consider typing the information. The forms may be typed on regular paper (instead of the form) as long as the requested information is included.
- Emailing the completed forms and/or letters is preferred. Please send to sandy@girlscoutsbayarea.org.
- Please do not submit the same letter for multiple nominations. All twelve people on the committee will notice. It also makes it difficult to individually recognize these people during the award ceremony and when writing about their accomplishments in the biography for the souvenir booklet.
- Please do not use one nomination and/or one endorsement letter and then attach names of nominees for the same reasons as described in tip #2.
- Include the details! The Adult Recognition Committee Task Group can only work with what is in front of them. If you don't tell them about it, they won't know.
- Get directly to the point. The committee has about 100 nominations to get through in one day and appreciates bulleted details over quantity of wording.
- Be sure to mention other volunteer positions the nominee holds and the length of time they held the position. It is taken into consideration.
- Include short personal insights or anecdotes.
- Candidate GROWTH is one of the things the committee likes to see from one award to the other. Tell how you feel the person has shown growth in her/his contributions to Girl Scouting since her/his previous award. Example: If the nominee has received the Outstanding Volunteer Award, what has the nominee done that merits further recognition?
- Focus on the nominee - limit the number of "I" statements.
- Make sure you understand the award requirements before nominating someone to ensure that your letter speaks to how the nominee has accomplished all of the requirements. If it is not clear how the nominee meets the requirements, the committee will not be able to recommend the award.
- Note that the information in your letter will be used as part of the nominee's information found in the biographical booklet. Please give us details to work with.
- Be results oriented. The fact that someone is responsible for something is great but tell us exactly what that means and what she/he has accomplished.
- Explain your personal connection to the nominee. "I work with her/him in my role as...
- If nominee served in Day Camp, be specific about day camp jobs and the scope of the day camp. Example: How many girls did s/he work with? What did the job entail?
- When asking for endorsement letters, please give the endorser guidelines on what the award is and what is required to receive it so they can speak to how the nominee meets the criteria. Award summaries are downloadable from this website.
- Please do not make assumptions about the responsibilities involved with an association-level position. Many associations divide duties among people who are willing to do them.
